This policy explains how we use personal information when you visit our website or contact us through it. It covers website visitors and enquiries, rather than the full processing of learner records during a training programme.

2. Information we collect
When you submit our enquiry form, we collect your:
- First name and last name.
- Email address.
- Telephone number.
- Message and any personal information you choose to include.
Please only include information relevant to your enquiry. Avoid sending sensitive personal information through the form unless we have specifically requested it.
When you visit our website, technical information may also be processed, including your IP address, browser and device information, pages visited and interactions with the website. This supports website operation, security and, where you consent, analytics.
The website is enquiry-only and does not accept online bookings or payments.
3. How we use your information
We use your information to:
- Respond to enquiries and communicate with you about our services.
- Discuss your training requirements and requested next steps.
- Deliver enquiry emails and investigate delivery problems.
- Protect our website and forms against spam, automated submissions and misuse.
- Understand website usage and improve the website through Google Analytics, where you consent.
Submitting an enquiry does not subscribe you to a newsletter.
4. Our lawful bases
We rely on the following lawful bases under UK data protection law:
Legitimate interests: responding to general enquiries, communicating with prospective customers, maintaining reliable email delivery and protecting our website. Our interests are operating our services effectively and securely.
Contract: where processing is necessary to take steps you request before entering into a contract with us, or to fulfil a contract with you.
Consent: using optional analytics cookies and associated tracking. You can withdraw your cookie consent through the website’s cookie preferences.
Legal obligation: where we must retain or disclose information to comply with applicable law.
5. Enquiry forms and email delivery
Our enquiry form uses Forminator. Form submissions are not saved through Forminator’s submission storage.
Enquiries are sent to info@gatewaytrainingconsortium.co.uk using Post SMTP and an SMTP relay. Information is therefore processed by the services involved in delivering and receiving those emails.
Post SMTP may also retain email delivery records and, depending on its logging configuration, message contents. These records can contain personal information submitted through the form.
Providing sufficient contact information enables us to respond. If you do not provide it, we may be unable to deal with your enquiry.
6. Cookies and Google Analytics
We use Complianz to manage cookie preferences and Google Analytics to understand how visitors use the website.
Google Analytics may process information about your device, browser, website interactions and online identifiers. Our cookie settings provide a choice about statistics cookies, and you can change your preferences through the website.
For details of the cookies listed on our website, their purposes and expiry periods, please read our Cookie Policy.
Information about Google’s processing is available at Google’s privacy information.
7. Cloudflare Turnstile
We use Cloudflare Turnstile to help protect our enquiry form from spam and automated submissions.
Turnstile processes technical signals, including browser, device and network information, to assess whether a submission comes from a genuine visitor. We rely on our legitimate interests in protecting the website and maintaining a reliable enquiry service.
Further information is available in the Cloudflare Turnstile Privacy Addendum.
8. Who processes your information
Personal information is available to the people within Gateway Training Consortium who need it to respond to your enquiry.
It may also be processed by providers supporting our website hosting, website maintenance, email delivery, email hosting, analytics and spam prevention. Relevant services include Google Analytics and Cloudflare Turnstile.
Information may also be disclosed where required by law or where necessary to establish, exercise or defend legal claims.
Google and Cloudflare operate internationally, so their services may involve processing outside the United Kingdom. Their privacy information, linked above, explains their international processing arrangements and safeguards. You can contact us for further information about transfers relating to your information.
9. How long information is kept
Retention depends on the purpose for which information is held.
For enquiry correspondence, the relevant criteria are whether the enquiry remains active, whether follow-up is needed, whether it leads to an ongoing relationship, and whether records are needed to meet legal obligations or deal with a complaint or claim.
For email delivery and security logs, the relevant criteria are whether records are still needed to investigate delivery failures, troubleshoot technical problems or address misuse.
Analytics retention depends on the service settings and whether information remains identifiable or has been aggregated. Cookie expiry periods are listed separately in our Cookie Policy.
Personal information should not be retained indefinitely simply because storage is available. Information that is no longer needed for its purpose should be deleted or anonymised.
10. Your rights
Depending on the circumstances and the lawful basis used, you may have the right to:
- Access your personal information.
- Have inaccurate information corrected.
- Request deletion of your information.
- Restrict how your information is used.
- Receive certain information in a portable format.
- Withdraw consent where processing relies on it.
You also have the right to object to processing based on legitimate interests.
These rights are subject to applicable legal conditions and exemptions. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
To make a request, email celia@gatewaytrainingconsortium.co.uk. We may need to verify your identity before responding.
11. Complaints
If you have concerns about how we use your personal information, please contact us using the details above.
You also have the right to complain to the Information Commissioner’s Office:
